Job Summary

The primary role of the Grants Administrator is to support the Grants Manager and Deputy Director with IIBA’s contract and grant awards for California Department of Social Services (CDSS). This individual will ensure ongoing compliance with contractual terms and conditions specified by the CDSS.  The Grants Administrator will support quality control, data analysis and monitoring of deliverable completion for IIBA’s seven offices as well as for a cohort of nine sub-grantee organizations.  Using attention to detail and good communication skills, this individual will clean and manage client data related to multiple CDSS grants, and provide data summaries and documentation to IIBA’s finance department and senior management in a timely manner. There will be opportunities to learn administration of multiple grant models and opportunities to cultivate skills in meeting facilitation, light technical support, and outreach.

Duties and responsibilities

  • Provides light technical support to agency staff and sub-grantees to ensure delivery of quality services.
  • Prepares data and drafts reports in accordance with deadlines using Microsoft Excel.
  • Gathers and organizes program data for the team to analyze trends and performance issues.
  • Assists with maintaining administrative systems necessary for the agency to comply with the terms and conditions of all CDSS grants, contracts and MOUs
  • Reviews contractual requirements and undertakes compliance measures.
  • Conducts periodic reviews to ensure compliance with CDSS guidelines
  • Supports ongoing auditing processes.
  • Assists in quality control for data and performance work plans, and assists with resolving problems that affect the performance of grant contracts.
  • Assists with training program staff associated with contract implementation, management and reporting on compliance procedures and internal controls.
  • Provides periodic quantitative and qualitative reports to staff on all contracts
  • Prepare mailings to legal service providers in our network with accuracy
  • Support grants team as needed.
  • Perform all other duties as needed and/or as directed by supervisor

Qualifications

  • Experienced and comfortable using Excel, including advanced features
  • Excellent attention to details
  • Good communication skills
  • Strong ability to work independently as well as with a team.

Desired Qualifications

  • Familiarity with any CRM
  • Familiarity with Microsoft 365 or a demonstrated ability to learn new applications/software
  • Experience using Pivot Tables, VLOOKUPs, Data Validation in Excel

Salary/Benefits

In the spirit of pay transparency, the salary range for Grants Administrator is $50,000 – $65,000. If you are hired at IIBA, your final salary compensation will be determined based on factors such as skills, education, and/or experience, and geographic location.  In addition to those factors, we believe in the importance of pay equity and consider internal equity of our current team members as a part of any final offer.  Please keep in mind that the range mentioned above is the full salary range for the role.  Hiring at the maximum of the range would not be typical in order to allow for future & continued salary growth.  We also offer a generous benefits package – additional information below.
