Title: Grants and Partnerships Program Manager
Reports to: Director of Government Grants
Location: San Francisco office (possible option to work from another IIBA office after initial onboarding period)

Job Summary:
This position is responsible for the regional hub for immigrant families and the expansion of access to immigration legal services, outreach and education. The Project Manager’s primary goals are to ensure efficient and effective overall management of programs and collaboratives for which the IIBA serves as the Program Manager for the regional hub in the Northern California region. The Project Manager will be responsible for managing the implementation of the regranting, reporting, and field-building components of such programs. Additionally, the project Manager will be responsible for establishing long-term partnerships, strengthening existing relationships, and initiating new contacts with community partners, school districts and local funders. The specific duties of this position include, but are not limited to, the following:
Essential Functions:
Manage Program Administration
- Serve as primary point of contact for partners, Immigrant Legal Resource Center (ILRC), who serves as the statewide program administrator for the program, and with the California Department of Social Services (CDSS) as the funder
- Plan and facilitate remote and in-person program meetings with partners
- Participate in regular meetings with ILRC and CDSS
- Document meetings, decisions, and processes and maintain program files
- Maintain current understanding of program goals and initiatives, focus areas, successes, and overall results to communicate to partners, ILRC and CDSS effectively
- Support tracking for program-specific technical assistance and training
- Engage proactively with partners on an ongoing basis to ensure accountability and timely completion of grant deliverables and program goals as well as timely reporting
- Monitor program progress on a regular basis and facilitate timely provision of necessary technical assistance to support partners in meeting their goals
- Initiate and cultivate new partnerships to expand the program’s reach and impact
- Ability to travel within Northern California, the North Bay region, and other parts of California as needed to support program implementation and partner engagement
Manage and Administer Subgranting
- Execute and maintain partner subgranting documents from drafting through execution, including scope of work, budget, and reporting forms
- Serve as a primary point of contact for communication between the ILRC, CDSS and partners
- Work collaboratively with finance and administrative teams to execute timely subgrant agreements and ensure payments to partners on schedule and within budget
- Collect, track, review, analyze, and approve invoices and expense reports
- Facilitate and track subgrantee budget modifications
- Maintain, meet, and track deadlines
Manage Reporting
- Train and onboard partners on reporting requirements
- Provide technical assistance on reporting issues including qualifying deliverables and reporting portal usage
- Maintain FAQs for partners on reporting issues
- Run and provide deliverables reports as requested
- Communicate with partners about reporting requirements
- Manage the collection and analysis of quantitative and qualitative data
- Aggregate data and help draft and ensure timely submission of reporting to ILRC
- Serve as liaison for communicating data and findings to ILRC and/or CDSS
Knowledge, Skills and Abilities:
- BA degree or AA with equivalent work experience.
- A minimum of five (5) years of recent experience in program management and administration.
- Strong understanding of and proficiency in data analysis.
- Proficiency in data management and reporting.
- Fluent in written and spoken English – knowledge of Spanish, a benefit
- Well organized, extremely accurate, attentive to detail, and reliable.
- Experience in data analysis and program management
- Ability to manage multiple tasks effectively in a dynamic environment.
- Excellent verbal and written communication skills.
- Commitment to the mission of IIBA and serving immigrant communities.
Salary/Benefits:
In the spirit of pay transparency, the salary range for the Grants and Partnerships Program Manager position is $65,000- $85,000. If you are hired at IIBA, your final salary compensation will be determined based on factors such as skills, education, and/or experience. In addition to those factors, we believe in the importance of pay equity and consider internal equity of our current team members as a part of any final offer.

Please note:
New employees are required to work in the office 4 days a week for the first three months of their employment with IIBA. This period is crucial for onboarding, training, and integration into IIBA’s culture. After the initial three-month period, new employees may be eligible to transition to a hybrid work schedule, subject to approval by their supervisor, the needs of the office, and in accordance with IIBA policies.
