Job Summary
The Pro Bono Program Coordinator is responsible for optimizing and scaling IIBA’s remote workshop model to reach more immigrants in the Bay Area. The Pro Bono Program Coordinator will manage and leverage the program’s tech tools, including appointment, case management and document sharing software, to achieve a more efficient service delivery model. Additionally, the coordinator will work to decrease the backlog of individuals seeking assistance from IIBA through a more centralized intake process and track and analyze data to assess the impact of your work. As a member of the pro bono team, this role will collaborate with the Pro Bono team to increase IIBA’s Pro Bono workshops from 2 to 3-4 per month, create and disseminate legal resources, partner with educational institutions to assist with the centralized intake process, and establish an efficient system of routinely surveying clients to improve their workshop experience.
Essential Functions
Manage Technological Tools
∙ Review the technological tools used by the Pro Bono program and identify inefficiencies, integrations and useful updates.
∙ Implement more accessible tech tools for remote clinic access and better management of sensitive documents.
∙ Manage automated reminder systems for clinic participants, and work with the Pro Bono Specialist to enhance the system’s effectiveness.
∙ Research document sharing tools to assist clients in delivering materials digitally
∙ In collaboration with IIBA’s Communication’s Team, enhance IIBA’s website donation portal to increase support for the program’s sustainability from clients, partners, and volunteers.
Enhance Accessibility to Remote Workshops
∙ Collaborate with IIBA’s Directing Attorneys to identify and target rural communities served by our Napa, Petaluma, Brentwood and Fremont offices.
∙ In collaboration with IIBA’s Volunteer Manager, produce short instructional videos in various languages to improve access to remote legal services.
∙ Partner with community organizations in rural areas to assist with client document collection, and potentially operate as technology connection points to our remote services.
∙ Create procedures for community organizations in rural areas to enable clients to access our remote clinics.
Create Sustainable Centralized Intake System
∙ Research centralized intake systems operated by similar organizations
∙ Collaborate with the Pro Bono Director to plan out a centralized intake system for citizenship workshops
∙ Pilot a centralized intake system for citizenship clinics in IIBA’s Redwood City Office, and work to expand it to at least one other office, which may involve answering client phone calls during designated “office hours”
∙ Partner with educational institutions to perform citizenship intakes for potential clients routed through centralized intake system
∙ Manage intake workshops in collaboration with Pro Bono Director
Workshop Support
∙ Assist the Pro Bono team in the lead up and during remote workshops as needed ∙ Provide support for clients and volunteers during the workshops
∙ Assist the Pro Bono Team in the lead up and during in-person clinics as needed, including workshop setup/breakdown, material preparation, and site preparation.
∙ Develop subject matter expertise on IIBA’s core clinic offerings, including naturalization and DACA.
∙ Screen clients for clinic eligibility as needed under the supervision of IIBA’s Pro Bono Director.
Grant Administration
∙ Collect and track data reflecting as it relates to the grant requirements, including data that tracks the reduction in client backlogs and increase in rural client participation.
∙ Train and supervise any volunteers who assist you with data tracking
∙ Prepare reports of your progress by funder-required deadlines
Knowledge, Skills and Abilities Required:
∙ Proficiency in a Windows/PC environment, and able to quickly become proficient in the use of IIBA’s immigration law software and database, volunteer/donor databases, and technical tools such as Adobe Acrobat Pro, Box, DocuSign and Zoom.
∙ A self-starter with a strong sense of personal responsibility, and ability to exercise sound judgment.
∙ High executive functioning, with an ability to independently plan and problem solve issues to achieve project goals.
∙ IT management experience.
∙ Excellent writing skills.
∙ Considerate, responsive, flexible, and detail oriented.
∙ Ability to work under pressure and handle multiple deadlines effectively.
∙ Commitment to serve immigrants and sensitivity to the needs of the low-income, culturally diverse newcomer community.
Qualifications:
Education: BA, or five years of equivalent work experience.
Work Experience: Leadership and Project Management experience highly preferred. Language: Ability to communicate effectively in English and Spanish REQUIRED.
Salary/Benefits:
In the spirit of pay transparency, the salary range for this position is $60,000 – $70,000, if you are hired at IIBA, your final salary compensation will be determined based on factors such as skills, education, and/or experience, and geographic location. In addition to those factors, we believe in the importance of pay equity and consider internal equity of our current team members as a part of any final offer. New employees are required to work in the office 4 days a week for the first three months of their employment with IIBA. This period is crucial for onboarding, training, and integration into IIBA’s culture. After the initial three-month period, new employees may be eligible to transition to a hybrid work schedule, subject to approval by their supervisor, the needs of the office, and in accordance with IIBA policies.
